Privacy Policy

This Privacy Policy explains how TactiKora ("we", "us") collects, holds, uses, and discloses personal information when you use our website, demo, chat assistant, billing features, and related services (the "Service").
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles ("APPs"), whether or not we are required to do so as an APP entity. This policy is intended to meet the content requirements of APP 1.4.
1. Kinds of personal information we collect and hold
- Identity and contact details such as name and email address.
- Account and authentication information needed to sign in and verify your account.
- Plan and usage information including selected teams, leagues or competitions, question usage, and product activity needed to run your subscription.
- Billing-related identifiers associated with Stripe (such as customer and subscription IDs). We do not store full card numbers on our servers.
- Communications you send in chat, onboarding, contact forms, or support requests, including optional VIP list signup.
- Technical information such as browser type, device information, IP address, and security or reliability logs.
We do not generally seek sensitive information (as defined in the Privacy Act). Please do not submit sensitive information unless we expressly ask for it and explain why.
2. How we collect and hold personal information
We collect personal information:
- directly from you when you create an account, subscribe, ask questions, contact us, or join the VIP list;
- automatically when you use the Service (for example session, device, and usage logs); and
- from service providers that help us operate the Service (for example Stripe confirming payment status).
We hold personal information in electronic systems hosted by us and our service providers, with access limited to people who need it to operate the Service. We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification, or disclosure.
3. Purposes of collection, use, and disclosure
We collect, hold, use, and disclose personal information for purposes that are reasonably necessary for our business functions, including to:
- provide, secure, and improve the Service;
- create and manage your account and subscription;
- process payments, invoices, upgrades, and cancellations through Stripe;
- respond to support, contact forms, and missing-team requests;
- send service emails such as verification codes, sign-in links, and billing notices;
- send product updates or VIP invites where you have consented, or where the message is a transactional service communication;
- detect abuse, prevent fraud, and meet legal obligations; and
- deal with complaints and enforce our Terms and Conditions.
If we need personal information for a purpose that is not related to these purposes and is not otherwise permitted by the Privacy Act, we will ask for your consent where required.
4. Disclosure to others
We disclose personal information only as reasonably necessary to operate the Service, including to:
- Stripe for payments, subscriptions, invoices, and the customer billing portal (including cancellation);
- email delivery providers used to send verification and account emails;
- hosting and infrastructure providers that run the application and database;
- AI model providers that process chat prompts and responses so we can answer your questions; and
- professional advisers, regulators, or law enforcement when required or authorised by Australian law, or to protect rights, property, or safety.
We do not sell personal information.
5. Overseas disclosure
Some of our service providers may store or process personal information outside Australia. Depending on the provider, this may include countries such as the United States and other locations where those providers operate data centres.
Where we disclose personal information to an overseas recipient, we take reasonable steps consistent with APP 8 to ensure the information is handled in a way that is substantially similar to the APPs, unless an exception under the Privacy Act applies (for example, where you consent, or the disclosure is required or authorised by Australian law).
6. Direct marketing and the Spam Act
We may send you marketing emails only with your consent or as otherwise permitted by the Spam Act 2003 (Cth) and the Privacy Act. Every marketing email will include a simple unsubscribe option. Transactional messages about your account, security, or billing are not marketing.
7. Access and correction (APP 12 and APP 13)
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant, or misleading.
Email hello@tactikora.com with "Privacy access request" or "Privacy correction request" in the subject line. We will respond within a reasonable period (usually within 30 days). We may need to verify your identity before providing access. In limited cases permitted by the Privacy Act, we may refuse a request and will tell you why (unless it is unreasonable to do so) and how to complain.
8. Retention and deletion
We keep account, billing, and usage records while your account is active and for a reasonable period afterward for tax, dispute, security, and legal purposes. You may ask us to delete personal information. We will take reasonable steps to do so where we are not required or authorised to retain it under Australian law.
9. Security
We use reasonable technical and organisational measures to protect personal information. No method of transmission or storage is completely secure. Please contact us immediately if you suspect unauthorised access to your account.
10. Children and young people
The Service is aimed at parents, fans, clubs, and organisers. If you are under 18, use the Service only with a parent or guardian's involvement. If you believe a child has provided personal information without appropriate consent, contact us and we will take reasonable steps to delete it.
11. Cookies and similar technologies
We use cookies or similar storage where needed for sign-in sessions, security, and basic product function. We do not use them to build advertising profiles for sale to third parties.
12. Complaints
If you believe we have breached the Australian Privacy Principles or mishandled your personal information:
- Email hello@tactikora.com with "Privacy complaint" in the subject line and include enough detail for us to investigate.
- We will acknowledge your complaint and aim to investigate and respond within 30 days (or tell you if we need more time).
- If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.
13. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we do. The current version will always be available free of charge on this page. If you need a copy in another reasonably practicable form, email us and we will take reasonable steps to provide it.
